We have gone to an online entry system for the Dixie Cup. For 2003, most entries were submitted by the brewer using the online system. The online system issues the brewer a number for each entry. The numbers for this year were in a format of "2003XXXX", with the number being sequentially assigned by the online database as the brewers entered their beers. If a brewer does not use the online entry process, we basically do it for them once we receive their entries by going to the web site using a computer that we have set up on the internet during check-in. For bottle stickers, we pre-print 4 sets of stickers with 4 digit numbers on them. This year we printed from "0001" to "1300". Each set of stickers is a different color, one for each round of judging and one for the paperwork. All of the bottles for each round are stickered with he same color. The entries in the Dixie Cup are mostly mailed in, and the feeding of the entries into the check-in system is not based on club, entrant or any other criteria other than what box of entries is closest to the work table when we start. We have more than one work area, and the stickers are split amongst the work areas. Stickers for entry "0001" and "0300" and "0500" could be given out at the same time at different work areas. At the time the bottles for an entry are checked in, a set of stickers is chosen, the category/subcategory number/letter is handwritten on the stickers, and they are affixed to the bottle and the paperwork. The bottles are files into case boxes. The paperwork is then used to enter the sticker number for the entry, using the online number as a reference, into the competition database system. A problem that we had with our bottle numbering and handling system this year was that two of the colors used for the stickers (fluorescent green and fluorescent yellow) were hard to tell apart in the bad lighting inside the refrigerated trailer. We are looking into correcting that problem for 2004. All judging in the competition is based on the 4-digit number on the sticker. Given that most individual brewers entries are handled all at once, most individual brewers will end up with consecutive 4-digit numbers on their entries. For an entrant to know what 4-digit number was assigned to their entry, they would have to be present at the time the stickers were applied to the entry. While the people who are working check-in are members of the Houston area homebrew clubs (The Foam Rangers, the KGB, the Mashtronauts and Deja Brew) and there is a chance they will handling their own entries, we have asked that everyone who helps with the check-in use the honor system and have someone else handle their entries if they see them. I was the judging coordinator for this year's Dixie Cup and I will have some part in our efforts to improve our entry handling process for the 2004 competition. This is a BJCP sanctioned event and experience points will be awarded for participation in judging, stewarding and staff responsibilities. As in the past, each panel will consist of at least one BJCP judge ranked certified or higher and one commercial craft brewer.
